Definition in practice
The calculation is only as current as its recipes and purchase prices. A changed garnish, larger portion or alternate ingredient changes expected usage. Sales records must also match the actual recipe variation: a base item with a paid extra is not necessarily the same ingredient draw as the base item alone.
Formula and worked example
Theoretical cost = sum of portion cost × units sold for every item.
Assume a soup costs $2.40 per portion and sells 80 portions, while a sandwich costs $3.20 and sells 50. The theoretical ingredient cost is $192 + $160 = $352. The sales quantities and costs are example inputs. They do not include an unrecorded staff meal or a batch that was discarded before sale.
Use it in the kitchen
Compare the result with stock-based actual usage on the same cost basis and for the same period. Investigate differences in receiving, credits, counts, transfers, waste and non-sale meals before assigning a cause. A positive gap is an unexplained difference, not evidence of misconduct. Keep a record of confirmed explanations.
Boundary check
Keep an earlier recipe version when analyzing a past sales period. Applying today’s portion size to last month’s sales can create a variance that reflects a model revision rather than an unexplained stock movement during that month.
Keep the input record
Write the unit, period and preparation beside the figure you use. Keep the original receipt, count or recipe record available so another person can reproduce the calculation. A clearly labeled assumption is useful for planning; it should not later be mistaken for a measured result.
Use the linked calculator to test your own inputs, then check the result against the original record. The browser ledger can hold recipe quantities and purchase prices, while your stock and accounting records provide the wider operating context. Export a backup before replacing a working ledger.
