Begin with the work you need to preserve. xtraCHEF by Toast may remain the right choice if its wider operating workflow is essential.

Keep the requirement, then compare products

A restaurant that wants invoice and ingredient-cost reporting connected to its Toast workflow. The checked xtraCHEF by Toast page covers invoice automation, recipe costing, inventory and cost reporting in the Toast product suite. Before switching, write down which of those functions you actually use and which problem the change is meant to solve. This is a shortlist by use case, not a claim that another product is better in every kitchen.

A shortlist with different strengths

Option Reason to evaluate Boundary to verify
Costed Plate Local recipe costing without an account Manual inputs, local backups and no stock or purchasing integration
Restaurant365 An operation connecting recipe management with accounting, purchasing and restaurant operations. Confirm the plan and integration required for your operating test
MarketMan A kitchen that needs supplier orders, stock counts and connected sales data alongside recipes. Confirm the plan and integration required for your operating test

Restaurant365: its official page describes recipes connected with inventory and sales within a wider restaurant back-office platform. Use that scope to decide whether a demonstration is relevant, then verify the exact package with the vendor.

MarketMan: its official page describes inventory, purchasing, invoice processing and recipe costing. Use that scope to decide whether a demonstration is relevant, then verify the exact package with the vendor.

The test that matters for this move

Bring an invoice item that has an unfamiliar supplier description. Test the mapping into your ingredient record and then into a recipe. Ask what happens when the supplier substitutes a pack and how sales modifiers map to ingredient usage.

Run that scenario in the current system first and retain the result. Then use identical quantities, units and dates in the candidate system. Include an exception you regularly handle, such as a substitution, partial delivery or recipe revision. A clean demonstration with perfect inputs does not tell you who will resolve the exceptions after launch.

When a local ledger is enough

Costed Plate is a free local browser ledger for ingredients, nested recipes, portions and menu-price scenarios. It also provides manual sales-based menu engineering, price-change previews, backups and printing. It has no live stock ledger, purchase orders, POS connection, accounting integration or shared team account. The optional invoice reader sends a selected image to an AI provider after consent and requires review before applying changes.

That narrower scope can be useful for a new menu, an independent recipe check or an operator who wants to control a local file. It is not a substitute for a procurement approval process or an accounting record. You can also use it alongside an existing system for scenario work, provided you keep the authoritative price and recipe records clear.

A careful transition

Export your current data before changing or canceling a service. Check recipes, sub-recipes, purchase units, supplier mappings and price dates. A spreadsheet containing names and totals may not preserve the relationships needed to recalculate the menu. Test a small representative set before rebuilding the complete catalog.

Confirm the full proposed price, including setup, locations, team access, integrations and any usage-based add-ons. This page does not claim that a vendor lacks an unpublished capability or privately negotiated package. Public documentation establishes the shortlist; your operating test establishes fit.
